The Instant Quote feature allows you to create, customize, and send professional quotes to your customers and/or prospects instantly. Designed for speed and ease, it ensures your business can respond quickly and present a polished, accurate offer every time.
This article provides a step-by-step guide to creating an Instant Quote, divided into nine detailed sections for easy navigation.
Section 1 - Paths to Create an Instant Quote
There are multiple ways to create an Instant Quote for an existing customer or a new prospect.
Section 2 - Company Information
When creating an Instant Quote, it’s important to include your company information so customers know exactly who the quote is from. This section appears at the top of the quote and include:
Company Name – clearly display your business name
Logo – add your company logo for a professional look
Company Information – email, phone number, and website
Section 3 - Quote Details
The Quote Details section captures the essential information about the quote. When creating an Instant Quote, make sure to include:
Service – specify the service the quote is for
Issued Date – the date the quote is generated and sent
Expiration Date – the date until which the quote is valid (optional)
Tip: Clearly setting the expiration date creates urgency for your customers and ensures quotes are acted upon in a timely manner.
Section 4 - Customer Information
The Customer Information section ensures your quote is correctly addressed and contains all the details needed to process it. When creating an Instant Quote, you must include:
Customer Name – clearly identify the recipient of the quote
Email Address – required for sending the quote directly
Phone Number – required for contact and follow-up or to send the quote
Address – required
Preferred Language - determines the language of the quote
Tip: Filling in all customer information accurately ensures your quote is professional and complete
Section 5 - Adding Custom Line Items
The Custom Line Items section allows you to detail the specific products or services included in your quote. Each line item can be fully customized to ensure clarity and accuracy.
When adding a line item, you can include:
Title/Description – a clear name or explanation of the product or service
Quantity – the number of units for the item
Unit Price – the cost per unit
Discount – apply a flat amount or percentage discount (optional)
Labour Time – specify hours or time required for the service (optional)
Total – the calculated total for the line item
Note: Every Instant Quote must include at least one line item to be valid.
Tip: Carefully filling out each line item ensures your quote is transparent, professional, and easy for customers to understand.
Section 6 - Setting Quote Frequency
The Frequency section allows you to define how often a customer can receive or schedule a service from your quote. You can add one or multiple frequency options to give your customers flexibility.
Key points:
Default option – “One Time” is included automatically
Additional frequencies – add options such as weekly, bi-weekly, or custom intervals
Custom discounts – assign a discount for price or labour time for each frequency
Customer choice – all available frequency options are displayed to the customer, allowing them to select the one that fits their needs
Tip: Offering multiple frequency options with discounts can encourage repeat business and give customers more control over their service plan.
Section 7 - Quote Summary
The Summary section provides a complete overview of the quote, helping both you and your customer review all important details.
Key elements include:
Customer Notes – an area to add any special instructions or messages for the customer
Subtotal – the total of all line items before discounts and taxes
Discounts – applied discounts for items or frequencies
Taxes – any applicable taxes for the quote
Total Labour Time – the sum of all labour hours included in the quote
Total – the final amount due for the quote
Frequency-specific summaries:
If your quote includes multiple frequency options, all of the information above (discounts, taxes, labour time, total) will be displayed for each frequency, giving your customer a clear comparison for each option.
Tip: Use the Summary section to double-check all figures and details before sending the quote to ensure accuracy and professionalism.
Section 8 - Terms & Conditions
The Terms & Conditions section allows you to include any legal or contractual details relevant to the quote. This area ensures that your customers clearly understand the rules, obligations, or policies associated with your services.
What you can include:
Payment terms and methods
Cancellation or rescheduling policies
Service limitations or guarantees
Any other important conditions that apply to the quote
Tip: Writing clear and concise terms helps prevent misunderstandings, protects your business, and ensures your customers are fully informed before accepting the quote.
Section 9 - CTA Buttons
At the bottom of the Instant Quote page, you’ll find the Call-to-Action (CTA) buttons that control how you handle the quote once it’s ready.
Available options:
Save and Send – saves the quote and sends it directly to the customer via Email or SMS
Save Only – saves the quote in MioCommerce without sending it, allowing you to review or edit later
Preview PDF – generate a PDF version of the quote to review its layout and details before sending
Tip: Use Preview PDF to double-check formatting and information, and choose Save and Send when everything is ready for your customer.
