What do the different statuses of a Quote mean?

Understand the different statuses of a Quote

Each Quote moves through different stages from creation to customer response.
Quote statuses help you quickly understand where a Quote stands and what action (if any) is needed next.

Where to view Quote statuses

To view Quote statuses:

  1. Go to Quotes from the left navigation

  2. Use the status filters to see Quotes by their current stage

Quotes move through these statuses based on customer actions and your Quote settings. So, let’s take a look at what each status means:

What it means:
A new Quote request has been received from a customer or prospect, but no action has been taken yet. No Quote has been created or edited yet.

What to do next:
Review the request and create a Quote.

What it means:
You’ve started creating a Quote, but it hasn’t been sent yet.

What to do next:
Finish editing and send the Quote to the customer.

What it means:
The Quote has been sent to the customer or prospect for review. At this stage, the Quote is awaiting a customer response

What happens next:
The customer can accept or decline the Quote.

What it means:
The customer or prospect has accepted the Quote. Once accepted, the Quote cannot be edited.

What happens next:

  • The Quote status is updated to Accepted

  • A booking is created automatically

  • The booking is available in the bookings section

  • You receive an email notification

What it means:
The customer or prospect has declined the Quote. A declined Quote must be edited and resent before it can be accepted again.

What happens next:

  • The customer may optionally provide a reason/feedback for declining

  • The Quote status is updated to Declined

  • You can review the feedback (if provided)

  • The Quote can be edited and resent to address the customer’s concerns

What it means:
The Quote was not accepted before the expiration date.

What happens next:

  • The Quote status is updated to Expired

  • The Quote can no longer be accepted by the customer

  • The expiration date can be modified if the Quote needs to be resent

By default, Quotes expire 7 days after being sent. This can be changed in your Quote expiration settings. Learn- How to modify the Expiration Date for Quotes?

What it means:
The Quote is approaching its expiration date.

What happens next:

  • By default, a Quote moves to Expiring Soon 24 hours before the expiration date

  • The customer can still accept the Quote before it expires

  • Reminder emails are sent automatically based on your Quote settings

Important:
If all expiration warning notifications are removed:

  • Quotes will skip the Expiring Soon status

  • Quotes will move directly from Sent to Expired

Once a Quote reaches Declined or Expired, it cannot be accepted without being edited and resent.

What to do next

  • Review Quotes marked New or Draft to take action

  • Follow up on Sent or Expiring Soon Quotes

  • Track conversions from Accepted Quotes

  • Revisit Declined or Expired Quotes to edit and resend if needed
