Why Quote expiration settings matter for your business

When a Quote stays open too long, customers may delay decisions, forget about it, or try to accept it after pricing or availability has changed. Expiration settings help you:

  • Set clear expectations for how long a price is valid

  • Encourage customers to respond on time

  • Avoid last-minute acceptances for outdated Quotes

  • Automatically follow up before a Quote expires

By customizing expiration rules, you stay in control of when Quotes expire and when customers are reminded, without manual follow-ups.

How Quote expiration works by default

By default, MioCommerce handles Quote expiration as follows:

  • A Quote expires 7 days after it is sent to the customer

  • A Quote changes status to Expiring Soon 24 hours before the expiration date

This gives customers a clear window to respond, while signaling urgency as the deadline approaches.

Where to change Quote expiration settings

To modify expiration settings:

  1. From the left-hand menu, go to Settings

  2. Select Quotes under Operational Settings

All expiration and warning settings for Quotes are managed from this page.

Change how long Quotes stay valid

To update the default expiration period:

  • Enter the number of days you want a Quote to remain valid

  • By default, this value is set to 7 days

Important:
When creating an individual Quote, you can also:

  • Set a custom expiration date, or

  • Choose no expiration date

These options override the default setting for that Quote only.

Customize expiration warnings (Expiring Soon)

To control when Quotes are marked as Expiring Soon, go to the
Open Quote Expiring Warning section.

From here, you can:

  • Set when a Quote changes from Sent to Expiring Soon

  • Trigger automatic warning messages before expiration

  • Send warnings via email and/or SMS, based on your preferences

Manage multiple expiration warnings

You can:

  • Add multiple expiration warnings

  • Configure each warning for a different time interval before expiration

  • Edit or delete existing warnings as needed

If all expiration warnings are removed:

  • Quotes will skip the Expiring Soon status

  • Quotes will move directly from Sent to Expired

Save your changes

After updating your settings, make sure to save your changes.

Your new Quote expiration and warning settings will apply to all future Quotes.
