What are Quote Settings?

Quote Settings let you define how Quotes behave across your entire account.

Instead of adjusting each Quote manually, you can set business-wide rules for:

  • When Quotes expire

  • Whether payment is required upon acceptance

  • What customers see when accepting a Quote

  • Default Terms & Conditions

  • Automatic reminder timing

  • Live calendar visibility

  • Quote numbering

These settings apply to all new Quotes unless you override them individually.

To access: Settings → Operational Settings → Quotes

Main Quote Settings Explained

Are your Quotes typically jobs?

This setting helps define whether accepted Quotes are treated as:

  • Simple bookings

  • Or longer jobs that may require scheduling adjustments

In simple terms, we define a job as a service which spans over multiple days and/or requires more than one visit.

Display live availability calendar

If enabled, customers will see your entire team's live availabilities when accepting a Quote.

If disabled, customers can still select a date & time but without real-time availability.

Require payment when customer accepts a Quote

If enabled: Customers must pay when they click “Book & Buy Now”.

If disabled: The booking is created without immediate payment.

Highly recommended if:

  • You require upfront deposits

  • You’ve had last-minute cancellations

Quote Accept Button Text

Customize the text customers see when approving the Quote.

Default: Book & Buy Now!

You can change this to match your tone, such as:

  • Accept & Pay

  • Confirm Service

  • Approve Quote

Default Days Before a Quote Expires

Controls how long Quotes remain valid.

Default: 7 days

After this period:

  • Quote status becomes Expired

  • Customer can no longer accept it

You can still override expiration on individual Quotes.


Last Quote Number

Controls your sequential Quote numbering.

Use this if you want consistent numbering records


Default Terms & Conditions

This section defines the Terms that appear on all Quotes.

Examples:

  • Payment must be made in advance

  • Cancellation requires 24-hour notice

  • Deposits are non-refundable

Important:
These Terms also apply when requesting digital signatures on Quotes.

Max length: 2048 characters.

Below the main settings, you can configure:

Open Quote Reminder

Automatic reminders sent while a Quote is still open.

Open Quote Expiring Warning

When a Quote stays open too long, customers may delay decisions, forget about it, or try to accept it after pricing or availability has changed. Expiration settings help you:

  • Set clear expectations for how long a price is valid

  • Encourage customers to respond on time

  • Avoid last-minute acceptances for outdated Quotes

  • Automatically follow up before a Quote expires

By customizing expiration rules, you stay in control of when Quotes expire and when customers are reminded, without manual follow-ups.

These are warnings sent before a Quote expires. You can:

  • Add multiple reminder intervals

  • Send via email and/or SMS

  • Customize timing

If no expiration warnings are set:
Quotes will move directly from Sent → Expired

When Should You Review Quote Settings?

You should revisit this page if:

  • Customers delay accepting Quotes

  • You experience cancellations before appointments

  • You want deposits collected automatically

  • You update your cancellation policy


What Happens After Changing Settings?

  • New Quotes will follow your updated rules

  • Existing Quotes keep their original configuration

  • Reminder timing updates apply moving forward
